Account & Data Deletion for the HACCP App

You can delete your HACCPapp account and all of your food safety records whenever you choose — straight from the HACCP app or by sending us a simple web request. This page explains exactly how, what gets removed, and when.

Summary

You can delete your HACCPapp account and all associated food safety records at any time — there are two ways to do it. The fastest is directly in the app; alternatively you can send us a web/email request and we'll action it for you. Deletion is permanent, so export anything you need to keep first.

🗑️ The short version

Open HACCPapp → Settings → Account → "Delete my account" to remove everything yourself. Prefer us to do it? Email [email protected] from your account email, or use the request form below. Either way, your account and records are permanently erased.

Method 1 — Delete your account in the app

The quickest way to remove your account and all of your records is from inside the HACCP app itself. It takes under a minute:

  1. Open HACCPapp on your Android device and make sure you're signed in to the account you want to delete.
  2. Open Settings (or Profile) from the menu.
  3. Tap Account.
  4. Tap "Delete my account".
  5. Confirm when prompted.

Confirming permanently removes your account and all associated food safety records — temperature logs, daily checks, allergen matrices, photo evidence and more — from your device and from our encrypted cloud storage. This action cannot be undone.

Method 2 — Request deletion by email or web

If you can't access the app, or you'd simply prefer us to handle it, you can request deletion in writing. Email us from the address registered to your account so we can verify the request:

  • You can copy [email protected] if you'd like our support team in the loop too.
  • Or use the quick request form below.

This form opens your own email client with the details pre-filled — just press send. No data is submitted to a server from this page.

What gets deleted

When you delete your account, we erase all of the personal data and food safety records linked to it. That includes:

The same data is also removed from the local copy stored on your device once deletion completes and the device next syncs.

What may be retained briefly — and why

We delete everything we can, as fast as we can. A very small amount of data may be retained for a short period where the law requires it or where it is technically necessary:

  • Billing & transaction records — subscription payments are processed by Google Play, not by us. We never hold your card details, but Google may retain billing records to meet its own financial and tax obligations. You can manage these in your Google account.
  • Anonymised aggregate statistics — non-identifying, aggregated usage counts that can no longer be linked back to you may be retained to understand overall app health.
  • Encrypted backups — your data is purged from our live systems immediately, but residual copies inside rolling encrypted backups are overwritten on the backup cycle (see timeframe below).

None of this retained data can be used to identify you once your account is deleted.

Deletion timeframe

⏱️ How long it takes

In-app deletions are processed immediately. Email/web requests are verified and actioned within 30 days (usually far sooner). Any residual copies held in our rolling encrypted backups are fully purged within 90 days, after which no trace of your records remains on our systems.

Before you delete — export your records first

Food businesses are expected to keep HACCP records available for inspection for around 2 years under UK FSA and EU HACCP guidance. Once you delete your account, those records are gone for good and we cannot recover them — so save anything you may still need.

📄 Tip — export your PDF first

Open HACCPapp and use Export → Inspection PDF to download a complete, timestamped copy of your records before you delete. Store it somewhere safe so you remain inspection-ready.

⚠️ Deletion is permanent and irreversible

Once confirmed, account deletion cannot be undone. Your account, login and all food safety records are erased and cannot be restored — even by our support team. Please be certain before you confirm.

Deleting just some data vs your whole account

You don't have to delete everything. Inside the HACCP app you can remove individual records — a single temperature log, a photo, a site or a staff name — without closing your account. This is useful if you only want to correct or clear specific entries while keeping your account active.

Deleting your whole account (Method 1 or Method 2 above) removes all records together with your login and is the right choice when you're leaving HACCPapp entirely. If you're unsure which you need, email [email protected] and we'll guide you.
